Creating a unified learning hub for educators and dynamic reporting for school leaders

Case Study
Educator home page interface

Overview

This project was a rapid two-week initiative to develop high-fidelity prototypes for a critical 7-figure Request for Proposal (RFP). The goals were to overhaul the current user experience for educators by transforming the existing pages into a unified learning hub and to introduce a dynamic dashboard with educator management tools for school leaders.

Due to the short deadline, rapid iteration was essential. All design decisions were constrained by the capabilities outlined in the RFP’s scope.

Solution Highlights

  • Unified Educator Learning Hub: Consolidation of several pages into a single, cohesive, tabbed home page focused on progress tracking and learning objectives.
  • Enhanced Progress Tracking: Integration of features to display and track course completion, assessments, quiz scores, and certification credits.
  • School Leader Tools: Creation of a data-driven leader dashboard and an educator management system to create segments and manage course assignments.
  • AI-Driven Features: Utilization of the company's AI engine to summarize content and recommend relevant resources based on educator behavior and demographics.
  • Mobile-Optimized Design: Design of responsive layouts for all user experiences.

Discovery

Existing home page design

Existing learning participant home page for educators

Given the tight timeline, the product management team and I relied heavily on existing qualitative and quantitative data, coupled with an analysis of known issues in the platform. The discovery phase identified the following issues:

Pain Point Impact on User
Design & Architecture: The existing educator home page was visually sparse and geared towards professional development services, requiring users to navigate to other pages to locate courses and resources. Led to confusion and difficulty accessing necessary information.
Lack of Guidance & Task Management: The current platform didn’t contain a method to assign courses to educators, leaving users to require outside direction to find and ensure they completed the correct courses. Increased administrative burden and led to user confusion regarding next steps in the platform or required actions.
Low Resource Utilization: While the platform contains a high volume of valuable resources, there were no calls-to-action (CTAs) or recommendations linking users to relevant resources. Valuable content was not being utilized, diminishing the perceived value of the platform's support materials.
Limited Leader Insight: No dedicated tools existed for school leaders to efficiently manage their teams, assign learning content, or gather data insights into educator progress and certification readiness. School leaders lacked the necessary controls and data to effectively support and direct their educators' professional development.

Planning

Planning was executed in close coordination with the product management team. The primary planning effort involved:

  • Mapping the Educator Learning Hub: I documented all of the necessary functionalities from existing pages along with new features outlined in the RFP and then organized the elements into modules for a new, consolidated home page layout.
  • Designing the School Leader Experience: I defined the necessary functionality for the educator management page, including adding educators, creating segments of educators, and assigning courses, and iterated on the components for the dynamic leader dashboard, which included detailed data chart and dynamic activity modules, filterable by demographics and created segments.
  • Integration of AI: I planned for the inclusion of AI summaries to deliver quick insights and content recommendations for both educators and school leaders.

After initial planning, I worked quickly to deliver high-fidelity mockups to the product management team and to integrate feedback, which ensured that the final designs had been thoroughly reviewed by the deadline.

Solution

The proposed solution transformed the existing experiences for educators and school leaders while addressing user pain points.

Unified Educator Learning Hub

The redesign focused on making the educator experience a centralized learning and progress tracking hub:

  • Tabbed Navigation: Elements from several pages were reorganized into a single home page using a tabbed navigation structure. This architecture allows users to easily access all of their content from one page, resolving navigational issues.
  • Enhanced Progress Tracking: I designed the My Progress tab for educators to oversee their progress in courses, quizzes, tests, and credits toward required certifications.

Dynamic Leader Tools

I designed two new experiences for school leaders:

  • Reporting Dashboard: This provides advanced data views and filtering capabilities, allowing school leaders to monitor educator progress, course completion rates, and certification readiness across their team. Data filtering can be applied using educator demographics and custom-created segments.
  • Educator Management: School leaders can manage educators, create custom segments with filters (e.g., by school, grades taught), and assign courses to these segments. Created segments can be used to filter data on the dashboard, offering deep, actionable insights.

Additional Functionalities

These features were incorporated into both the educator and school leader designs:

  • AI Summaries and Recommendations: AI summaries and personalized content recommendations were included throughout the platform.
  • Personalized Task Management: A notification system and prominent CTAs were introduced to alert educators to pending tasks, including required actions for course completion or certifications.
  • Mobile Optimization: All pages were designed with mobile usage in mind to ensure a seamless, fully functional experience on any device.

Outcome

The immediate outcome of this project was the successful delivery of high-fidelity designs and a comprehensive prototype for each user experience that met the requirements of the RFP.

Solution Prototypes

I worked closely with the product manager to define a click path and narrative flow to demonstrate our solution, which I used to create clickable prototypes, complete with hover animations. The prototypes were used during a video demonstration that showcased the proposed features, specifically the unified learning hub, progress tracking, and dynamic leader tools.

Defining Success Metrics

I documented a set of key performance indicators (KPIs) to measure the impact of the solution once implemented, focusing on user behavior and platform experience:

Metric Expected Outcome
Home Page Retention Rate Increased long-term user stickiness and return frequency.
User Experience Improved user satisfaction resulting from a clearer, more structured experience and improved features.
Resource Usage Increase in the utilization of platform resources, driven by AI recommendations and course assignments.
School Leader Platform Utilization Increased frequency of school leaders utilizing the dashboard filtering features, creating segments, and assigning courses.
